Position Overview:
We are seeking a skilled and reliable Accounts Payable Clerk & Office Assistant to join our team.
This role is crucial in ensuring the smooth operation of our financial processes and providing essential support to various administrative functions within the office.
Key
Responsibilities:
1.
Accounts Payable Management:
Process invoices accurately and efficiently, verifying appropriate approvals and coding.
Prepare and perform weekly check runs, electronic payments, and wire transfers.
Reconcile vendor statements, resolving any discrepancies in a timely manner.
Maintain organized and up-to-date records of all accounts payable transactions.
Communicate effectively with vendors regarding payment inquiries and discrepancies.

General Office Support:
Assist with general office tasks such as answering phones, handling mail and filing documents.
Coordinate and schedule meetings, appointments, and travel arrangements for staff when necessary.
Order office supplies and maintain inventory levels to ensure adequate stock.
Assist in organizing company events and gatherings as needed.
Provide support to other departments as requested by management.

Data Entry and Record Keeping:
Accurately enter data into accounting and financial systems, ensuring completeness and accuracy.
Maintain confidentiality of financial and personnel information at all times.
Assist in the preparation of financial reports and presentations as required.
4.
Administrative Support:
Support the HR department with basic administrative tasks such as employee file maintenance and onboarding paperwork.
Collaborate with other team members to ensure smooth operation of daily tasks and projects.
Perform other duties and special projects as assigned by management.
Qualifications:
Previous experience in Accounts Payable or General Accounting Preferred.
Proficiency in Microsoft Office Suite (particularly Word and Excel) and accounting software (e.
g.
, QuickBooks).
Strong attention to detail and accuracy in data entry and record-keeping.
Excellent organizational skills, both verbal and written, with the ability to interact professionally with vendors, employees, and management.
Ability to maintain confidentiality and handle sensitive information with discretion.
Flexibility and adaptability to work in a fast-paced environment and handle multiple tasks simultaneously.
High school diploma or equivalent; additional education in accounting or related field is a plus.
